The Sales Order Lifecycle: From Quote to Closed
Phase 1: Purchase Request
Requester raises a PR specifying goods or service, department, required date, and item classification. The system derives the GL account and cost dimensions automatically from the Item or Service Master and runs a live budget check against the active scenario.
Phase 2: Price List Reference
Benchmark prices maintained against Item and Service Masters auto-populate the PR and quotation evaluation screens. This prevents over-pricing at the commitment stage — before the PO is raised — by providing a validated reference price alongside every line item.
Phase 3: Purchase Order
The approved PO is system-generated with a unique document number, full line-item detail, dimension tags, tax codes, and supplier-specific terms drawn from the Vendor Master. A PDF PO is automatically emailed to the vendor upon approval. Budget is formally reserved against the applicable GL and dimension combination.
Phase 4: Vendor Payment
Approved invoices are selected for payment by due date, vendor, or amount. Supported payment modes include bank transfer, cheque, post-dated cheque (PDC), and petty cash or credit card. A payment proposal is reviewed and approved through the DOA workflow before execution.
